Rent Receipt: What to Include, Free Example and How to Make One

A rent receipt proves a tenant paid rent. See what to include, a rent receipt example to copy, and how to make one free as a PDF in minutes.

Rent receipt for a monthly payment beside house keys

A rent receipt is a written record from a landlord confirming that a tenant has paid rent. It should show who paid, who received the money, the property address, the amount, the date paid, the rental period covered and the payment method. Landlords give rent receipts to keep clean records, and tenants keep them as proof of payment.

Rent receipts are simple, but they matter. If there is ever a dispute about whether rent was paid, a receipt is often the clearest evidence either side has. This guide shows what to include, gives you a rent receipt example to copy, and explains how to make one in a few minutes.

Why rent receipts matter

A rent receipt helps both sides of a tenancy.

  • For tenants: it is proof you paid, which helps with disputes, deposit returns, references for a new landlord, and in some cases benefit or tax claims.
  • For landlords: it gives you an organised record of rental income for your tax return, and shows you handled payments properly if anything is ever questioned.
  • For cash payments: a receipt is the only paper trail. Bank transfers leave a record on a statement, but cash does not.

Do landlords have to give rent receipts?

It depends on where you are and how rent is paid.

In the US, there is no single national rule. Several states and cities require landlords to give a receipt when rent is paid in cash, and some require one whenever the tenant asks. The details vary a lot, so check your state and local landlord tenant rules.

In England and Wales, if rent is payable weekly, the landlord must provide a rent book or similar document under the Landlord and Tenant Act 1985. For monthly tenancies there is generally no legal duty to issue receipts, but many landlords do it anyway because it is good practice and tenants often ask. Rules in Scotland and Northern Ireland differ.

Even where receipts are not required, giving one costs you nothing and avoids arguments later. If you are unsure of the rules where you rent, ask a local housing adviser or a solicitor.

What to include on a rent receipt

FieldExample
Receipt numberRR0042
Date of payment1 April 2026
Tenant nameJordan Ellis
Landlord or agent nameMaple Street Lettings
Property addressFlat 3, 18 Maple Street, Bristol
Rental period covered1 April 2026 to 30 April 2026
Amount paid£950.00
Payment methodBank transfer, cash, check or card
Balance remaining£0.00, or any amount still owed
Signature or name of person receivingSigned by the landlord or agent

The rental period is the detail most often missed. "Paid £950" on its own does not say which month it covers. Always write the dates.

Rent receipt example

Here is a simple rent receipt you can copy and fill in:

RENT RECEIPT
Receipt number: RR0042
Date: 1 April 2026

Received from: Jordan Ellis
Property: Flat 3, 18 Maple Street, Bristol BS1 4AA
Rental period: 1 April 2026 to 30 April 2026

Amount received: £950.00
Payment method: Bank transfer
Balance remaining: £0.00

Received by: Sarah Patel, Maple Street Lettings
Signature: ____________________

For a US tenancy, the same layout works with dollars and a check number. For example: "Amount received: $1,650.00. Payment method: Check no. 1187."

Partial payments and late rent

If a tenant pays only part of the rent, the receipt should say so clearly. Write the amount paid, the full rent due for the period and the balance still owed. For example:

Received $800.00 toward rent of $1,650.00 for the period 1 May 2026 to 31 May 2026. Balance remaining: $850.00.

Be careful with wording when rent is late or partly paid. In some places, accepting partial rent can affect a landlord's ability to take further action, so landlords dealing with arrears should check local rules or take advice. Tenants should keep every receipt, especially during any disagreement.

If you charge a late fee, list it as a separate line so the tenant can see exactly what they paid for.

Other payments you can give receipts for

The same format works for other money a tenant pays you. Give a separate receipt, or a separate line, for each one:

  • Security deposit, noting where it is held if your local rules require a deposit protection scheme
  • Holding deposit
  • Pet deposit or pet rent
  • Parking or storage fees
  • Utility charges you pass on to the tenant

Keeping these separate makes it much easier to work out what is owed back at the end of the tenancy.

How to make a rent receipt, step by step

  1. Give it a number. Use a simple series so you can find receipts later.
  2. Add your details and the tenant's. Include the full property address.
  3. Write the date paid and the period covered.
  4. Enter the amount and method. Add a check number or transfer reference if there is one.
  5. Show any balance remaining.
  6. Sign it or add your name.
  7. Send a copy to the tenant and keep one for your records.

You can do all of this in the free InvoiceGeneratorKit generator. Change the document title to Receipt, add the tenant as a saved client, add the rent as a quick item, and mark it paid so a PAID stamp appears. Then download a PDF. There is no sign up, and your receipts are saved privately in your browser so next month's receipt takes seconds.

Paper rent receipt books vs digital receipts

A paper receipt book with carbon copies still works, especially for cash. The downside is that paper gets lost, and handwriting can be hard to read years later.

Digital receipts are easier to store, search and send. A PDF receipt can be emailed or sent by message the same day rent arrives. If you collect cash, you can still hand over a printed copy and keep the PDF.

Whichever you use, be consistent. Give a receipt for every payment, in the same format, with the same numbering.

How long to keep rent receipts

Landlords should keep rent receipts with their other income records for as long as their tax authority requires. In the UK, HMRC generally expects records to support your Self Assessment return to be kept for at least five years after the 31 January submission deadline for that tax year. In the US, the IRS generally suggests keeping records for at least three years, and longer in some cases. Check current guidance or ask an accountant.

Tenants should keep receipts for the whole tenancy and for a while after it ends, at least until the deposit is returned and any disputes are settled.

Rent receipt vs rent invoice

An invoice asks for payment. A receipt confirms payment has been made. Some landlords send a rent invoice or statement before the due date, then a receipt once the money arrives. Most small landlords skip the invoice and just send a receipt. Frequently asked questions

What should a rent receipt include?

The receipt number, payment date, tenant and landlord names, property address, rental period covered, amount paid, payment method, any balance remaining and the landlord's signature or name.

Is a landlord required to give a rent receipt?

It depends on where you live. Some US states require receipts for cash rent, and in England and Wales weekly tenancies need a rent book. Check your local rules.

Can a rent receipt be digital?

Yes. A PDF receipt sent by email or message is fine in most cases and is easier to store and find than paper.

What if the tenant only pays part of the rent?

Write the amount paid, the full rent due for the period and the balance still owed. Landlords dealing with arrears should check local rules before accepting partial payments.
