How to Number Invoices: 4 Simple Numbering Systems

Every invoice needs a unique number. Here are four simple numbering systems with examples, the rules to follow and the mistakes to avoid.

How to number invoices

Number your invoices with a unique, sequential number that never repeats, such as INV-0001, INV-0002 and INV-0003. You can add the year, the month or a client code to make numbers easier to sort, as long as every number is used only once and the sequence has no gaps you cannot explain.

Why invoice numbers matter

  • They let you and your client refer to one exact invoice.
  • They make it easy to spot a missing or duplicate invoice.
  • They keep your bookkeeping and tax records in order.
  • In many countries, including the UK, a unique invoice number is a legal requirement.

4 simple invoice numbering systems

1. Sequential

Start at 1 and count up: INV-0001, INV-0002, INV-0003. It is the simplest system and works for most small businesses. Add leading zeros so numbers sort correctly.

2. Year based

Put the year first: INV-2026-001, INV-2026-002. You can restart the count each year while keeping every number unique. This is popular because you can see at a glance when an invoice was issued.

3. Date based

Use the year and month: 2026-10-001, 2026-10-002. It suits businesses that send many invoices a month and want them grouped by period.

4. Client based

Add a short client code: ACME-001, ACME-002, BRIGHT-001. It helps when you work with a few regular clients. To stay safe, keep a single master sequence as well, or include the year, so two clients can never get the same full number.

Rules for numbering invoices

  1. Every number must be unique. Never reuse one, even for a cancelled invoice.
  2. Keep the order. Each new invoice gets the next number in the sequence.
  3. Do not delete issued invoices. If an invoice is wrong, issue a credit note and a new invoice instead.
  4. Stick to one format. Changing systems often makes records hard to follow.
  5. Use a prefix. INV for invoices, CN for credit notes, QT for quotes keeps documents apart.

Can I start invoice numbers at a higher number?

Yes. Many new businesses start at a number such as INV-1001 so they look established. That is fine, as long as you continue the sequence from there.

Common invoice numbering mistakes

  • Using the same number twice after copying an old invoice.
  • Restarting at 1 every year without adding the year to the number.
  • Using random numbers that cannot be sorted.
  • Keeping separate sequences on different devices that overlap.

Automatic invoice numbers

The easiest way to avoid mistakes is to let software count for you. In the free InvoiceGeneratorKit invoice generator, each new invoice gets the next number automatically, in the INV-2026-001 style, and duplicating an invoice gives the copy a fresh number so you never send the same number twice. You can still edit the number by hand whenever you need to.

Frequently asked questions

What is a good invoice number format?

A short prefix, the year and a sequential number, such as INV-2026-001, is clear, sortable and easy to keep unique.

Can two invoices have the same number?

No. Each invoice number must be unique. Duplicate numbers confuse your records and can cause problems with tax authorities.

Should invoice numbers restart every year?

They can, but only if the year is part of the number, for example INV-2026-001 and INV-2027-001, so no number is ever repeated.

What do I do if I made a mistake on an invoice?

Do not delete it or reuse its number. Issue a credit note to cancel it, then send a corrected invoice with a new number.
